To schedule new trip, on
Trips tab click
Create Trip button.
Entering new trip data happens in Create Trip dialog:
Select the driver that will execute the trip and the service date.
Add locations to visit
The next step is to add choose the machines and locations that will be visited. This can be accomplished in three ways:
Add locations button
Select Locations screen where you can select one or more Locations to add to your trip. When you click Save, the system will add all selected locations with all machines assigned to them.
One often used scenario is to filter Locations by Route and then sort the list by Next Visit in order to select Locations that have to be visited on a specific date.

Select Route screen on which you can select to add a specific route. When you click Add To Trip button, the system will add all locations from selected routes with all machines assigned to them.
There is an option to filter locations that will be included in the trip by their Next Visit Date. If you have entered Service Date and click
Add locations from route button, the system will show a checkbox “Filter by Next Visit” at the bottom of the window. When selected, system will choose only machines in locations, whose Next Visit Date is equal to the selected Service Date.

Select Machine screen where you can select the machines to add to your trip.
Locations and machines list
Locations and machines included in the Trip are dispayed in a tree-like list grouped by Location.
Click the small + icon in front of each location name to expand it and to view its machines.
Use Expand All and Collapse All buttons at the bottom of the list to open or close all locations at once.
You can delete a single machine or a whole location from the list by clicking the
icon at the end on each row of the list.
When you click and select a single machine in the tree, you can enter a message to the driver in the Notes to Driver field below. Machines that have Notes to driver are highlighted and the text in the note is displayed as a tooltip.
The message will be displayed also in the mobile application, on screen Enter Trip Results -> Select Machine, so the driver will see it when servicing the machine:
When you add location to the trip, the system dispays it on the map.
You can click location’s pin
on the map to display it’s name and address. You can to remove it from the trip direclty from here, by clicking on Remove from trip link.
The system can calculate the optimal route between the locations.
In order to use this functionality, first choose which will be the first and the last locations in your trip and position them on on first and last place in locations list. You can do that by using list’s drag-and-drop feature - click and hold a location and move it to the desired position in the list.
After setting your first and last locations, click button
Calculate Optimal Route located on the top of the map. The system will calculate the optimal (shortest) route and will rearange locations in the list, leaving first and last location positions unchanged. The route is displayed on the map. You will also see a message with the total route distance in km and miles and approximate driving time.
Print Map option to print the map with the calculated route as well as the ordered list of the locations and their addresses.
When you are ready with trip adjustments, click
Save to save your changes. You will see the list of your trips and your new trip in status Created. The system automatically generates a Trip number that uniquely identifies it.
After Trip creation you have 2 options:
To use the mobile application for Android and iOS (iPhone and iPad)
To record the data from servicing the machines on paper and after that to enter it manually on Enter Trip Results screen.
If you choose the paper-based option, you can use the Service Sheet Report to help you capture all data from servicing the machines.
