Create Location

You can define new location using the Create Location button on Locations screen.

Entering new Location data happens in Create Location dialog:

Basic info

  • Status: location status. Possible values are Active and Inactive. If a location is in status Inactive, it is still visible in Locations table, but it is not displayed in Upcoming Services widget on Dashboard. You can easily identify inactive Locations as they are marked in grey.
  • Code (Mandatory): here you can enter alpha-numeric values to identify the location. If you don’t have your own location numbering scheme, the system will generate sequential numbering for you (by default).
  • Name (Mandatory): enter location’s name that will help you easily identify it.
  • Address Line1: enter location’s address. This field, along with Town/City, State/Province, ZIP & Country is used to identify geographical location of the Location on the map.
  • Address Line2: some additional address info if needed.
  • Town/City
  • State/Province
  • ZIP/Postal Code
  • Country

When you create a new location, system copies the values of these last four fields from the last created Location record and pre-fills them in the new record.
In this way, when you create several locations in same state or city, you don’t have to enter same data over and over again.

Contact Details

Enter name, phone and e-mail for your contact person at the location. Name and Phone will be displayed in the mobile application and also on Trip Service Sheet report along with location address details.

Commissions

To define what commissions will be paid to the location, use Commissions section.

You may have to expand Commissions section in order to view its content by clicking on its header Commissions (click to view).

You can define Commission on Location level and on Machine level. If you define commission on both levels, commission on Machine level has precedence.

You can also set up and modify commissions data later, using Edit Location.

Tax Rates

In order to configure Tax Rates applicable for this location, first you have to create Tax Types from tab Configuration | Tax Types.

You may have to expand Tax Rates section in order to view its content by clicking on its header Tax Rates (click to view).

In this section system lists all defined Tax Types and you can enter the rate for the taxes which are applicable for this Location.

Tax Rate accepts numeric values, within range of 0-100. If a Tax Type is not relevant for this location, enter 0 (zero) in Tax Rate column.

Other Notes

Free-text comments on the location. Will be displayed in mobile application and also on Trip Service Sheet report.

Working Hours

Enter in free-text location’s open hours. Will be displayed in mobile application and also on Trip Service Sheet report.

Service Pattern

If you want to visit the location on a fixed schedule, for example every Tuesday, use Service Pattern section to describe how often and on which days you want to execute the visits.

  • Daily - use if you want to visit the machine every X days. Examples:
    Service Pattern - visit every day
    Service Pattern - visit every 10 days
  • Weekly - use if you want to visit the machine every X weeks and on certain week days. Enter number of weeks and optional the days of the week. Examples:
    Service Pattern - visit every week on Tuesday and Friday
    Service Pattern - visit every 2 weeks on Wednesday
    If you ommit week days and enter only every 2 weeks, machine will be visited every 14 days.
    Service Pattern - visit every 14 days

    System does not offer a Monthly option, but it can be easily defined using Daily, 30 days or Weekly, 4 weeks.

Working Days

Define which are the working days for this location. This data will be used in the calculation of vends per day of products and will help for more accurate predictions of products sales.

Create Location - Working Days section

When you are ready with entering location data, click button Save to complete creation process. The system will position the location on the map acording to address data that you entered. You can see the map when you open View/Edit Location screen.
